Changing the system that runs your gate feels risky for a simple reason: every resident notices if it goes wrong. Done in the right order, though, a switch can be almost invisible. These are the four decisions that matter most.
Decide together, in one meeting
Bring the full committee to the demonstration. Decisions taken by two or three members tend to unravel at the next meeting; decisions taken together hold. Ask every question in the room, including the uncomfortable ones about cost, data and support.
Settle the hardware first
Most switches lose weeks not to software but to devices and connectivity at the gate. Ask whether devices arrive ready to install with their own connectivity, who installs them, and who trains your guards.
Plan how every household comes on board
An app that one person in each home uses is only half adopted. Agree on door-to-door onboarding in the first week, and make sure every member of the household is invited, not just the account holder.
Agree who will support you after go-live
The best indicator of a good provider is what happens when something breaks. Insist on a named relationship manager and a committed response time for platform issues, in writing, before you sign.
